James Tjan – Founder & CEO of Mindful Snacks – was actively looking for a reliable biometric time & attendance solution to replace an inferior system for his business when he was referred to Invixium. No Biometric Time Tracking System at Hand
As Mindful Snacks grew and began recruiting more employees, their biometric time tracking system had grown sluggish and glitchy with the increasing number of users enrolled on the device. Employees were required to use the device for clocking in and out on a daily basis, yet the process of actually doing so had become a nuisance due to the amount of problems users were experiencing.
James’ existing biometric system became a particular pain point when it came time to executing employee payrolls. Management members would have to physically go to the device and download the data onto a USB flash drive in order to transfer all of the information onto their computers and generate reports. Since paydays cannot be moved, someone had to go on-site to retrieve the data from the device no matter what day of the week it was. To call it an inconvenience is an understatement!
Finding the Right Biometric Time Tracking Solution
The time had come to replace the existing system with a secure, reliable biometric time & attendance solution that would take care of the job and offer the convenience that James and his team needed. James knew that he needed a feature-rich system which would not only authenticate employees, but also assist him in streamlining payroll efforts with the ability to automatically print out reports on a regular basis with ease. Most importantly, the system he would choose would have to be able to offer the scalability to grow alongside his company since he knew that he would be hiring more employees in the future.
Reaping the Benefits of the Perfect Fit
Once the Invixium TOUCH FP1X was installed inside the Mindful Snacks office, James immediately saw the benefits of moving to a more efficient, reliable system. The install was simple and painless thanks to PoE reducing the amount of cables required and the device is now mounted at the front door where employees clock in or out when they enter and exit the building.
James also went on to say that the device is quite the attention-grabber for visitors coming into his business. “We get a lot of comments on the device from clients visiting the office.” He explains, “they’re very curious to find out what it’s for and when we explain that it’s used for time & attendance tracking they’re usually shocked since they’ve never seen such a well-designed unit that looked like this before!”
On top of this, James highlights 3 major benefits he saw after moving to Invixium’s Time & Attendance solutions. First and most importantly, executing employee payroll became much more streamlined thanks to the automated reports generated via the IXM WEB management software.
“While we were searching for a more sophisticated punch clock system, finding one that offered reports became a top priority for us. That way the system can automatically generate reports and send them to myself or whoever requires access to them.”
With the automated reports in place, it saved James and his team the headache of physically going on-site to download the required data from the device every time payroll period came around.
The second benefit he highlights is the access control features available on the device including standalone door access capabilities without the need of a panel. Although employees currently only use the device twice a day to punch in and out, James plans to take advantage of all the features available on the TOUCH in the future as he scales his biometric time and attendance system alongside his growing business. James will be able to make great use of user groups inside IXM WEB to set certain functions according to an employee’s position and department. That way it will eliminate the need to make a different set of keys for each employee, ultimately lowering his expenses of creating keys and replacing those that are lost or damaged.
Lastly, the idea of scalability was important to James in order for him to be able to install multiple units in the future.
He explains, “the compatibility of all the Invixium devices was important to us since we plan to invest in multiple Invixium units in our next office, that way we can secure sensitive rooms and eliminate the traditional key.”
The Invixium biometric system will be crucial for better monitoring overnight deliveries where he currently relies on a trust system with delivery personnel using drop keys to enter the premises. With a biometric tracking system in place, James will have better insight into who is entering the building, at what time, and which entrance they used to gain access.
